Job Intro

In the role of Executive Assistant to the Board, you are entrusted with the vital responsibility of facilitating the board's operations through meticulous planning, coordination, and communication. Your duties encompass, amongst other things, managing the board's calendar to ensure meetings and appointments are efficiently scheduled, alongside prioritizing and responding to crucial emails and preparing essential materials for board meetings. You will also draft and disseminate communications on behalf of the board, handle travel logistics, and keep (digital) files and project management tools meticulously updated.

A significant part of your role involves attending meetings to take detailed notes, capturing discussions, decisions, and action items, and following up on these items to ensure progress is made. Moreover, managing confidential information with the highest level of discretion is paramount.

Acting as the pivotal communication link between the board and the rest of the company is a critical aspect of your role. This requires you to facilitate requests, disseminate information, and ensure seamless communication flows between the board and other departments or external stakeholders. Your ability to anticipate the board's needs, coupled with your proactive approach in addressing them, is essential for enabling the board to effectively guide the company's strategic direction.

This position demands exceptional organizational skills, the ability to multitask effectively, and a in-depth understanding of the company's operations. Your role is crucial in supporting the board's decision-making process and ensuring the overall effectiveness of board operations.

Responsibilities & Requirements

  • Offer comprehensive support to the Board, including but not limited to managing schedules, arranging meetings, and organizing travel plans.
  • Facilitate seamless communication within the Board and with external stakeholders, ensuring confidentiality and professionalism are upheld.
  • Develop and refine documents such as emails, reports, and presentations to support Board activities.
  • Oversee various projects, adeptly handling multiple priorities in a dynamic environment.
  • Participate in and travel for in-person Board meetings as required.
  • Act as the primary liaison between the Board and both internal and external clients, maintaining a high level of organization and precision.

    Skills & Qualifications

  • Proficiency in both English and German.
  • Located within the CET time zone +/- 3 hours.
  • Skilled in the use of MS Office, GSuite, and capable of typing at a minimum speed of 80 WPM.
  • Willingness to occasionally travel for the role.
  • Demonstrated experience in supporting high-level executives or board members.
  • Exceptional organizational, project management, and problem-solving skills, with an aptitude for multitasking.
  • Possesses the patience and understanding necessary to interact with busy individuals effectively.

Nice to have:

  • Background in the blockchain industry.
  • knowledge of Atlassian products (such as Confluence) and AirTable.
