We are looking for a highly organized, resourceful, and proactive Business Assistant to the CEO who thrives in a dynamic, fast-paced environment. This role is a key administrative partner to our CEO and will be instrumental in ensuring their time is well-managed, tasks are executed efficiently, and priorities are aligned with the broader goals of the business. While this position will formally report to the Head of People, it is fully dedicated to supporting the CEO with all aspects of their day-to-day operations.

WHO YOU ARE
📅 Manage the CEO’s calendar – Schedule and confirm internal and external meetings, guard focus time, and resolve conflicts.
📞 Coordinate Sales Activities – Act as a liaison for sales calls, pipeline tasks, and follow-ups (currently led by the CEO).
📂 Handle Client Agreements – Draft, populate, and send service agreements for signature using templates.
🗣 Communicate on Behalf of the CEO – Respond to emails, messages, and requests with professionalism and clarity.
✅ Keep the CEO Accountable – Track task updates, follow up on outstanding action items, and proactively help manage their to-do list.
📎 Provide Administrative Support – Own all admin-related tasks for the CEO, from travel logistics to documentation and everything in-between.
🔁 Collaborate with the Head of People and COO – Ensure priorities are aligned and support systems are in place to help the CEO stay focused.
✅ 2+ years of experience as an Executive Assistant, Administrative Coordinator, or similar role (startup experience is a bonus!).
✅ Excellent written and verbal communication skills in English.
✅ CT or EST working hours (hard requirement).
✅ Strong organizational and time-management abilities—you're the type who never misses a detail.
✅ High level of discretion, professionalism, and integrity.
✅ Comfortable using Google Workspace (Docs, Sheets, Calendar), Slack, and project management tools like ClickUp
✅ Proactive mindset—you anticipate needs before they're spoken.
✅ Ability to prioritize and multitask under pressure.
