About the role

We are looking for a Facilities Coordinator to join our beautiful and centrally located office in Amsterdam. This is a diverse and hands-on role that balances both physical and administrative responsibilities. From ensuring a smooth front desk experience to supporting the Facilities team with data-driven tasks, reporting, and process improvement - you’ll play a vital role in keeping our office running smoothly and efficiently.

You’ll be a key presence at reception, providing a warm welcome to employees and guests, while also assisting with internal requests, supplier coordination, and daily operational tasks.

What you’ll do

  • Be the first point of contact at reception, providing a welcoming experience for employees, visitors, and guests.
  • Support the day-to-day operations of the office, working closely with the Facilities team.
  • Handle and manage JIRA tickets, Slack requests, and general office service queries.
  • Support with facilities data reporting and help identify ways to automate and improve existing processes whilst delivering impact.
  • Coordinate and communicate with suppliers for maintenance and repair tasks.
  • Oversee health and safety in the office and support emergency response protocols and evacuations.
  • Perform daily opening and closing checks for the building and reception area.
  • Assist with both hands-on tasks and administrative preparation for events, including lunches, drinks, dinners, parties, and category team visits.
  • Replenish kitchen consumables, manage food and beverages, and help maintain coffee machines.
  • Manage stock levels of office supplies and maintain facilities inventories.
  • Maintain communal areas as needed, including general housekeeping where required.
  • Support the Manager of Facilities with small-scale projects and maintenance tasks.
  • Support Wellbeing and Community teams within the business to help drive impact in office engagement and employee experience

What you’ll bring

You will be the friendly face of our workspace, curious about how your colleagues interact with each other and what they value. With your positive energy and open mindset, you’ll help create a welcoming, safe, and productive environment. In addition, you bring:

  • 2-3 years of experience in a facilities-related role or a similar hospitality-based position
  • A high level of responsibility, a sense of purpose, and the ability to communicate with stakeholders at all levels of the organisation
  • Excellent organisational skills, with the ability to plan and prioritise your workload effectively, and a clinical eye for detail
  • The ability to work autonomously and stay resilient under pressure
  • A proactive mindset with a desire to improve processes and take initiative
  • Determination to deliver results and the ability to prioritise in dynamic situations
  • Excellent verbal and written communication skills in English
  • Availability to be physically present in the office 5 days a week; this is a hands-on role
  • Proficiency in Google Sheets and Mac software
  • Emergency response or first aid certification is a plus

Our Offices and Way of Working

Our vibrant offices in Amsterdam, Paris and Lisbon are designed to inspire and connect. Most Catawikians are within commuting distance of one of our offices and enjoy the flexibility of a hybrid work model. This means we typically ask you to be in the office 2 out of 5 days, roughly 40% of your working time, to collaborate and connect with your colleagues. Of course, if the job description specifies that the role is 100% remote—such as for certain expert or sales positions—then that arrangement will apply.
