The Contract Specialist is responsible for managing and overseeing contract data accuracy and compliance, coordinating with clients, consultants, suppliers, and internal teams to support seamless processes. This position requires a people-driven and detail-oriented professional with experience in managing complex contracts, ensuring that all processes adhere to internal and external standards while contributing to efficient, high-quality operations.

Tasks

  • Contract Drafting & Management – Review client framework agreements and prepare tailored contract templates accordingly. Managing the contract workflow in Emagine’s internal system.
  • Contract Administration – Send out contracts and agreements daily, ensuring accuracy and timely processing.
  • Contract Updates & Adjustments – Correct, update, and adapt agreements and templates as needed.
  • Signature Coordination – Ensure contracts are signed and finalized by all relevant parties.
  • Data & System Management – Maintain and update contract-related information across internal systems.
  • Document Handling – Archive agreements and related documentation in compliance with company policies.
  • Legal & Compliance Collaboration – Work closely with Legal and Compliance teams to ensure contract alignment with regulations.
  • Stakeholder Support – Assist account managers, consultants, suppliers, and clients with contract-related inquiries and system access.
  • Cross-Team Collaboration – Work alongside other teams within the Group to optimize contract processes.
  • Reporting & Insights – Supportin contract-related reporting and analysis

Requirements

  • Have at least 2 years of experience in working with details in written material, documents, and databases.
  • Have a natural flair for and are motivated by working with people services and have a good understanding of the importance of being a support function to others.
  • Have a high level of drive, initiative and persistence and are result-oriented.
  • Have a strong sense of discipline, know how to structure your way of working.Have an outgoing and service minded personality with strong communication skills.
  • Have experience in working with Microsoft Office (especially Word and Excel) and with CRM and project management systems.
  • Have professional communication skills in English.
