Job Overview
We are seeking a highly organized and proactive Executive Coordinator to provide direct support to the company’s management team. This role combines administrative, financial, and operational coordination and plays a key role in ensuring smooth daily operations across departments and clients.
The ideal candidate is detail-oriented, structured, and business-minded, with strong communication skills and the ability to manage multiple priorities in a fast-paced, multicultural environment. This is a long-term, strategic position offering exposure to international operations and senior leadership.
Tasks
Executive Support & Coordination
- Manage the manager’s calendar, appointments, and meetings; ensure timely preparation and follow-up.
- Track and report progress on ongoing tasks and projects using structured tools and summaries.
- Coordinate communication between internal teams, ensuring clear, concise, and actionable information flow.
Financial & Administrative Oversight
- Prepare and issue client invoices; monitor payments and follow up on outstanding balances.
- Maintain expense records, budget tracking sheets, and financial dashboards.
- Support financial planning, reporting, and internal audit preparation.
- Handle administrative tasks such as document organization, contract filing, and correspondence.
Operational & Client Interface
- Communicate professionally with clients, service providers, and partners.
- Support cross-department coordination (sales, projects, finance) and assist with commercial documentation.
- Organize travel arrangements, including flights, hotels, and itineraries for management and team members.
Continuous Improvement & Ownership
- Anticipate needs, propose workflow improvements, and take ownership of assigned tasks.
- Ensure accuracy and consistency in all deliverables — written, financial, or operational.
- Demonstrate openness to feedback and apply it constructively to improve performance.
Requirements
Required Qualifications
- Bachelor’s degree in Administration, Finance, Management, or a related field.
- 2–5 years of professional experience in coordination, administrative, or operational roles.
- Excellent communication and interpersonal skills.
- Strong organizational skills, attention to detail, and accountability.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and cloud-based collaboration tools.
- Based in Lebanon, with a reliable remote work setup and flexibility across time zones.
