**Job Overview**

We are seeking a **highly organized and proactive Executive Coordinator** to provide direct support to the company’s management team. This role combines **administrative, financial, and operational coordination** and plays a key role in ensuring smooth daily operations across departments and clients.

The ideal candidate is **detail-oriented, structured, and business-minded**, with strong communication skills and the ability to manage multiple priorities in a fast-paced, multicultural environment. This is a long-term, strategic position offering exposure to international operations and senior leadership.

## Tasks

**Executive Support & Coordination**

*   Manage the manager’s calendar, appointments, and meetings; ensure timely preparation and follow-up.
*   Track and report progress on ongoing tasks and projects using structured tools and summaries.
*   Coordinate communication between internal teams, ensuring clear, concise, and actionable information flow.

**Financial & Administrative Oversight**

*   Prepare and issue client invoices; monitor payments and follow up on outstanding balances.
*   Maintain expense records, budget tracking sheets, and financial dashboards.
*   Support financial planning, reporting, and internal audit preparation.
*   Handle administrative tasks such as document organization, contract filing, and correspondence.

**Operational & Client Interface**

*   Communicate professionally with clients, service providers, and partners.
*   Support cross-department coordination (sales, projects, finance) and assist with commercial documentation.
*   Organize travel arrangements, including flights, hotels, and itineraries for management and team members.

**Continuous Improvement & Ownership**

*   Anticipate needs, propose workflow improvements, and take ownership of assigned tasks.
*   Ensure accuracy and consistency in all deliverables — written, financial, or operational.
*   Demonstrate openness to feedback and apply it constructively to improve performance.

## Requirements

**Required Qualifications**

*   Bachelor’s degree in Administration, Finance, Management, or a related field.
*   2–5 years of professional experience in coordination, administrative, or operational roles.
*   Excellent communication and interpersonal skills.
*   Strong organizational skills, attention to detail, and accountability.
*   Proficiency in Microsoft Office (Excel, Word, PowerPoint) and cloud-based collaboration tools.
*   Based in **Lebanon**, with a reliable remote work setup and flexibility across time zones.
