Position Overview

We seek a highly organized Administrative Assistant to ensure seamless operational support across our international organization. This critical role maintains the efficiency of daily operations through precise coordination, documentation management, and cross-departmental support in a fully remote environment.

Tasks

Key Responsibilities

Operational Coordination:

  • Track and manage domestic/international shipments to guarantee timely delivery
  • Monitor operational expenses and maintain accurate financial dashboards
  • Process expense reports and support budget tracking activities

Document Management:

  • Maintain and organize contracts, administrative files, and compliance documentation
  • Ensure proper version control and accessibility of critical business documents
  • Support document compliance according to company standards

Administrative Support:

  • Coordinate complex international travel arrangements (flights, accommodations, itineraries)
  • Schedule cross-departmental meetings and manage executive calendars
  • Serve as primary point of contact for interdepartmental coordination requests

Process Optimization:

  • Identify opportunities to streamline administrative workflows
  • Implement improvements to enhance operational efficiency
  • Maintain accurate records of operational procedures

Requirements

Essential Requirements:

  • Bachelor's degree in Business Administration or related field
  • Minimum 2 years' experience in administrative or operations roles
  • Language proficiency: French (C1), English (B1-B2)
  • Advanced skills in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Demonstrated ability to manage competing priorities with exceptional attention to detail
  • Proven experience working effectively in fully remote environments
