Tasks

We need an Executive Assistant who is more than an organizer—you will be a partner to our leadership team. You will have a front-row seat to everything, keeping us focused on what matters most.

Your responsibilities:

  • Strategic priority management: Own the agenda of the leadership team. Understand what drives Allocator One’s business, actively prioritize what moves the needle, and push back on anything that doesn’t.
  • Stakeholder management: Serving as the point of contact between the executive and internal/external stakeholders. Building and maintaining relationships with key clients, partners, and team members.
  • Meeting orchestration: Ensure meetings are high-impact and time is never wasted. Prepare talking points, take actionable notes, and follow up to drive decisions forward.
  • Travel and logistics: Seamlessly handle complex, international travel plans, schedules, and events—anticipating needs before they arise.
  • Inbox and communications: Keep leadership’s communication clear, concise, and prioritized. Filter noise, respond where possible, and escalate the critical.
  • Operational excellence: Identify inefficiencies and implement processes to improve how the leadership team works. You will constantly ask, "Is there a smarter way to do this?".
  • Proactive problem-solving: Anticipate challenges before they become problems, develop solutions independently, and flag what needs leadership’s attention.
  • Strategic reporting: Support leadership in preparing presentations, reports, and materials that provide clarity, focus, and direction for internal and external stakeholders.

Requirements

  • Experience: At least 4 years of history in a role that has prepared and qualifies you for this job—you’ve honed the skills, confidence, and judgment to deliver at a strategic level.
  • Fluent in German and English: You can navigate local and international interactions with ease, adapting tone and language to every situation.
  • Exceptional communication: You are precise, clear, and tactful—whether writing emails, coordinating meetings, or handling sensitive communications in German and in English.
  • Digital native: You are tech-savvy, fluent in modern tools, and instinctively understand how to leverage technology to streamline workflows and drive results.
  • Leadership mindset: You think like a leader, not just an executor. You actively engage with challenges, drive decisions, and don’t wait to be told what to do.
  • Strategic intuition: You connect the dots quickly, understand priorities, and make smart, independent decisions that align with the business’s goals.
  • Ownership and accountability: You thrive in an environment where you are trusted to deliver results and where accountability is non-negotiable.
