Administrative Coordinator with an Adventure Travel Operator

We're an incoming tour operator that creates award-winning, human-powered outdoor adventures and is on a mission to become the North Star of responsible tourism in Albania.

Zbulo has an opening for a motivated, curious and reliable team member who wants to grow with us. Whether you already have experience or are just starting out, what matters most is your willingness to learn, your passion for the mountains and rural Albania, and your desire to contribute to sustainable tourism.

You are a detail-oriented problem-solver with high self-motivation, enabled to learn new skills and work independently, also at odd hours, and are without fear of asking questions to learn. You should be able to handle interruptions like client calls and frequent changes of focus to actively work on multiple tasks at any given time. During high season (May - September) you might be asked to work 6 days a week and for the extra working hours you can choose to get them paid or replace them with holidays.

This is an entry-point position with the prospect to develop deeper involvement with the company, please apply only if you intend to work with us for at least two years. Travel experience, a passion for outdoor activities and knowledge of German and/or another foreign language are bonuses.

The gross salary for this position is in the range of 87.000 ALL - 127.000 ALL/month.

Tasks

  • Maintain regular, positive communication with Zbulo’s partners (accommodations, drivers, guides, activity providers, etc.)
  • Request rates, availability, and service details from suppliers professionally and on time
  • Book, organize, and confirm all required travel services for Zbulo tours.
  • Support suppliers in meeting our quality standards and guest expectations
  • Source and provide accurate rates and service details from suppliers in Albania and abroad.
  • Add and update bookings in our system to keep all information accurate
  • Add and maintain supplier contact lists and service agreements
  • Review trip notes and collect feedback on suppliers to prepare an annual summary and identify ways to strengthen cooperation.
  • Prepare and organize all necessary tour and travel documents before the tour starts.
  • Respond promptly and helpfully to inquiries and booking requests via email.
  • Provide phone support to guests during trips (questions, changes, unexpected situations)
  • Coordinate with guides, drivers, and other on-ground staff to support smooth trip operations.
  • Collaborate with the sales and finance teams on logistics and planning
  • Report operational challenges and propose improvements to enhance efficiency and partner satisfaction.
  • Help refine and maintain efficient operational workflows
  • Assist colleagues with other tasks based on skills and interests

Requirements

We welcome applicants from diverse backgrounds. The ideal candidate has:

  • Some work experience (preferably in customer-service or office environments), but we also welcome motivated beginners
  • Strong time management and organisational skills
  • Excellent communication skills – written and verbal
  • Good interpersonal skills and team spirit
  • Confident computer skills
  • A positive, solutions-oriented attitude
  • Provided calm and efficient assistance during unexpected travel disruptions
