As an Personal Executive Assistant (all) at Sonia, you will directly support our CEO, ensuring that strategic priorities are translated into action. You’ll handle day-to-day executive administration, act as a trusted point of contact, and contribute to the smooth running of our Luxembourg office.

This position requires office presence in Luxembourg.

This is what you’ll own

  • Managing the CEO’s business and personal calendar, priorities, and communications according to preset rules.
  • Being 150% trustworthy and able to handle delicate business and private matters.
  • Ensuring that the CEOs time is optimised for business impact.
  • Coordinating travel arrangements and expense management.
  • Preparing briefing documents, presentations, and follow-ups for meetings.
  • Acting as the first point of contact for internal and external stakeholders.
  • Supporting the Luxembourg office with administrative and organizational tasks.
  • Helping plan and execute team meetings, events, and offsites.

Required Qualifications:

  • Highly organized with excellent attention to detail.
  • Strong written and verbal communication skills in English and German (French a plus).
  • Proactive, solution-oriented, and comfortable managing multiple priorities.
  • Professional discretion in handling sensitive information.
  • Solid command of productivity tools (Google Workspace, Slack, project tools). Nice-to-Have Qualifications:
  • Previous experience as an executive assistant or similar role.
  • Exposure to fast-paced startups or international environments.
  • Event coordination or project management experience.
