As we expand our presence at major global conferences and run more co-hosted events with partners, we’re looking for a freelance event marketer who can plug into our team and own execution with excellence.

Role Overview

We are seeking an experienced Freelance Event Marketing Manager to help us deliver outstanding event experiences across Europe and North America. This role combines logistics, creativity, and cross-functional orchestration — ensuring SimScale shows up brilliantly at sponsored industry events, smaller niche conferences, and owned partner events.

You will operate as part of the marketing team, but with the flexibility to scale your hours depending on event volume: typically 1-2 days per week, expanding during major event cycles.

What You’ll Own

Event Planning & Execution

  • Manage end-to-end event logistics for sponsored events, partner events, and SimScale-hosted activities (booths, workshops, networking events).
  • Coordinate with event organizers, booth vendors, shipping partners, AV crews, and design teams.
  • Ensure brand consistency across all event touchpoints — booth design, signage, collateral, demos, presentations.

Cross-Functional Collaboration

  • Work closely with Demand Gen, Product Marketing, Sales, and SDR teams to ensure pre-event promotion, on-site activities, and post-event follow-up are aligned.
  • Work with Product Marketing to ensure speaker sessions, abstracts, demo workflows, and product-relevant content.
  • Work with Brand/Design to ensure we show up with consistency and maximum creativity to bring differentiation and distinction to our event presence.

Operational Excellence

  • Maintain and iterate the event playbook for repeatable, high-quality execution.
  • Manage event timelines, budgets, staffing, and checklists.
  • Keep the team informed through structured planning updates and post-event summaries.

Marketing Integration

  • Partner with Demand Gen on pre-event promos: email, social, paid media.
  • Partner with Demand Gen team to ensure lead capture and processing/routing are executed in a timely manner.
  • Partner with Demand Gen to ensure all post-event follow-up is triggered seamlessly (HubSpot, Salesloft, SDR workflows).

Creative Enhancement

  • Recommend opportunities to elevate SimScale’s presence — experiences, activations, visual upgrades, speaking opportunities, thematic concepts.

What Success Looks Like

  • Every event runs with zero surprises and clear plans.
  • SimScale shows up professionally, creatively, and consistently — no matter the event tier.
  • Post-event follow-up processes are enabled/executed quickly and cleanly.
  • You operate near-autonomously for speed, but integrate smoothly into the team rhythm.
  • Capacity is used intelligently: heavy during high-volume periods, light when events slow down.

Requirements

  • 4+ years in event marketing or event operations, ideally in B2B SaaS or similar technical sectors.
  • Experience executing events in both Europe and North America (preferred)
  • A proven ability to manage logistics and creative brand presence end-to-end.
  • Strong cross-functional skills — able to work across marketing functions and with leadership
  • Comfortable with tools like HubSpot, project-management platforms, and event tech.
  • Proactive, structured, calm under pressure, and excellent at communication.

Contract Details

  • Freelance / contractor role.
  • Flexible allocation of time across the year: ~1-2 days a week plus possibility to dial up further during major event cycles, and down to near zero during lull periods.
  • Remote with the ability to work across European and North American time zones.
  • Very occasional on-site event support preferred (travel reimbursed).
