To support the development of our Office located in Saint‑Étienne‑de‑Montluc, we are looking for an Office Manager. In this key position, you will play a central role in delivering administrative, operational, commercial, and quality support to the site. Working closely with the General Manager and the Business Development Manager, you will actively contribute to the smooth running and overall performance of the agency.
Tasks
Administrative Management
- Master and operate our ERP system InspHire (contracts, invoicing, purchase orders, inventory management).
- Handle daily mail and administrative correspondence.
- Manage contracts and all associated documentation.
Operational Support
- Organize planned and urgent transport and logistics for equipment dispatch.
- Manage periodic regulatory inspections (tanks, hoses, etc.).
- Coordinate activities with service partners.
- Oversee inventory counts and resolve discrepancies.
- Record daily equipment movements in Smartsheet / InspHire.
- Order parts, consumables, and relevant stock items.
Accounting & Finance
- Process supplier invoices (collect, verify, record documents).
- Forward approved invoices for payment and monitor outstanding purchase orders.
- Issue purchase orders, manage external orders, and maintain validated delivery notes.
- Handle monthly customer invoicing, monitor receivables, and perform written/telephone follow‑ups.
- Register new customers and suppliers, including credit checks.
Commercial & Marketing Support
- Promote the Rain for Rent brand online (email campaigns, social media initiatives).
- Organize regional trade shows and events.
- Coordinate support items for the sales team (business cards, merchandise, brochures, uniforms, etc.).
Human Resources Support
- Contribute to the onboarding program for new employees (travel, equipment, office setup).
- Organize and track employee training programs.
Quality, Health, Safety & Environment (QHSE)
- Comply with all applicable quality, safety, hygiene, and environmental rules.
- Support continuous improvement efforts within the QHSE management system (MASE, ISO).
- Assist with documentation, quality records, and environmental reporting
