The Executive Assistant to the Director provides high-level administrative, strategic, and operational support to the Director of a major pharmaceutical company. The role requires exceptional organizational skills, discretion, professionalism, and the ability to manage sensitive information within a highly regulated industry.
The Executive Assistant serves as a key liaison between the Director, internal departments, regulatory bodies, partners, and external stakeholders, ensuring seamless coordination of executive activities.
Tasks
- Manage the Managing Director's diary, schedule meetings and appointments, and provide reminders.
- Handle incoming and outgoing communication (emails, phone calls, faxes), and respond to routine inquiries.
- Arrange and book travel, accommodation, and transportation for the Managing Director and/or staff.
- Coordinate meetings and events, including preparing agendas, taking minutes, and following up on action items.
- Maintain an organized filing system, draft correspondence, prepare reports and presentations, and manage confidential documents.
- Assist with personal errands, purchase items, and handle financial matters as needed.
- Act as a point of contact for internal and external stakeholders, including other departments, customers, and vendors.
- Identify and implement process improvements to enhance efficiency and productivity.
Requirements
- Bachelor’s degree in Business Administration, Management, or related field with at least 2 years’ experiencein executive support or personal assistant roles
- Strong organizational and time management skills.
- Excellent communication (written and verbal) and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to handle confidential information discreetly.
- Problem-solving and decision-making skills.
- Adaptability and flexibility to changing priorities.
