pharmtrace is a clinical Contract Research Organization specializing in studies which use imaging modalities, such as CT, MRI, PET/CT, PET/MRI and SPECT/CT. pharmtrace uses its own proprietary software ERICA for image collection, archiving, quality control and independent read. 

We have a diverse team of 15 people who manage studies globally with international clients. Most tasks are done online; office presence is not mandatory. 

Job description

We are hiring an office manager who will be the backbone of our physical office but also manage our daily business routine such as invoice reception, leave requests, office supply management and training documentation.

## Tasks

*   practical organization of all matters related to the physical office 
*   management of office supplies and consumables
*   communication with landlord and service providers (e.g., cleaning company)
*   assure office infrastructure (e.g., electricity, telecommunications, safety at work)
*   internal company organization 
*   remote hosting of weekly company meetings (incl. preparation of minutes)
*   planning of office attendance (e.g., during independent reads)
*   coordination of shifts
*   responsible for documenting training
*   administration mail processing 
*   processing of received invoices
*   preparatory accounting support in creation of invoices to customers and follow-up regarding payments

## Requirements

\-Bachelor in relevant field 

\-working experience in office management

\-self-organized structured working style

\-advanced MS office (word, excel, ppt, teams) usage; a liking for software-based systems

\-English B2, any other languages are an adon
