As part of our international growth, we are looking for Part Time Project Manager (2.5 days a week) in a CET friendly time zone to support our growth in EMEA/Americas with opportunities to become full time for motivatd and self driven individuals
As a Project Manager reporting to the Project Management Office (PMO) Lead, you will drive day-to-day delivery excellence across client and internal initiatives. You will plan, coordinate, and execute projects end to end, ensuring scope, timelines, budget, quality, and stakeholder expectations are managed proactively.
You will work closely with consultants and client stakeholders to keep execution on track, surface risks early, and maintain clear, timely communication. You will also contribute to PMO reporting by keeping project data accurate, supporting forecasting, and helping improve delivery templates, standards, and tooling.
Success in this role requires strong ownership, structured thinking, and the ability to navigate ambiguity while keeping teams aligned on outcomes.
Tasks
Mission 1: Active Missions Project Management
Project Preparation & Initiation
- Lead the preparation of missions, ensuring all necessary information, frameworks, and documentation are in place ahead of project kick-off (GDrive folder availability, Project Slack channel put in place, Project Notion page initiated)
- Facilitate and structure project kickoff meetings, ensuring clear alignment on objectives, scope, responsibilities, and timelines.
Project Execution Support & Monitoring
- Provide continuous operational support throughout the project lifecycle.
- Monitor project execution in alignment with internal PM standards, escalating issues when needed and ensuring progress remains on track.
- Maintain and organize all project documentation, including agendas, minutes, reports, and status updates.
Project Board Leadership
- Lead weekly project board sessions to review project health, validate milestone progress, track deliverables, and ensure all active projects maintain forward momentum.
- Communicate consolidated updates to the Head of Operations and relevant stakeholders.
Communication & Coordination
- Facilitate communication across teams and stakeholders, ensuring timely sharing of information and clarity around actions and expectations.
- Coordinate tasks, track deadlines, and support the follow-up process for all work streams.
Risk, Issue, and Performance Tracking
- Assist in identifying risks, blockers, or performance gaps and contribute to mitigation strategies.
- Ensure that risks and issues are documented, monitored, and communicated.
Operational & Administrative Support
- Manage project calendars, schedules, and shared workspaces.
- Support operational workflows and assist with the organization of internal activities as required.
Mission 2: SOP & internal training development support
- SOP Creation & Maintenance: Develop, update, and maintain Standard Operating Procedures (SOPs) to ensure consistency, clarity, and efficiency across operational processes.
- Process Documentation: Translate operational workflows into clear, structured documentation that supports team alignment, onboarding and change management.
- Internal Training Delivery: Design and deliver internal training sessions to ensure team members understand and follow updated processes, tools, and best practices.
- Continuous Improvement: Identify areas for operational optimization and proactively propose improvements to workflows, SOPs, and internal training materials.
Mission 3: Online Training Platform Management
Online Training Platform (OTP) Operational Management:
- Client Application Review & Background Checks: Oversee the intake and verification process for client applications, ensuring all required information and checks are completed prior training purchase.
- Onboarding Session Management: Coordinate and deliver onboarding sessions for new trainees, including preparing and watermarking presentation slides, scheduling sessions, and ensuring all materials are properly distributed.
- CTF (Capture The Flag) Activation request: Manage the setup of CTF account as part of the training journey.
- End-of-Training Coordination: Organize “Meet the Expert” sessions between the expert and trainees at the conclusion of each training cycle to support knowledge transfer and address final questions
Requirements
- Experience (3+ years) in delivery management, professional services, or project management, preferably in cybersecurity, telecommunications, or technology consulting.
- Proven track record of managing complex, project-based service delivery in a B2B environment.
- Proficiency with FURIOUS and Notion - Knowledge Management a plus
- Communication and stakeholder management abilities, comfortable interfacing with executives and technical teams alike.
