Tasks

- Coordinate and manage the executives’ calendar and resolve scheduling conflicts
efficiently
- Handle matters with a high degree of confidentiality and discretion
- Ensure confidential documents are handled securely
- Schedule internal and external meetings, calls, and appointments
- Communicate on behalf of the executives professionally
- Book flights, hotels, ground transportation and handle travel issues or last-minute changes
- Take detailed meeting minutes and prepare agendas and briefing materials
- Track action items, deadlines, projects timelines and follow up on deliverables
- File and organize documents (physical and digital)
- Support in daily internal operations
- Assist with research and compiling reports
- Events coordination
- Manage public relations and help building strong working relationships on behalf of the executives by communicating internally with the rest of the employees and consultants
- Review legal documents (commercial NDAs and commercial contracts), get them signed by the CEO and send them to the relevant parties
- File shipping documents and internal, external Purchase Orders
- Screen and manage emails, calls, and correspondence
- Help prioritizing tasks and manage the executives’ time effectively
- Occasionally assist with personal tasks (scheduling, errands, reservations)

Requirements

- Bachelor's degree in Business Administration, Operations Management, or a related field.
-Minimum of 1 year of experience in an operations or administrative role.
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent communication skills, both written and verbal, with proficiency in Microsoft Office Suite.
- Demonstrated problem-solving abilities and attention to detail to ensure efficient
operational processes.

- Has a driving license
- Already a resident in Europe or has an European visa
