The HR & Administration Officer will be responsible for supporting the day-to-day human resource and administrative functions of Tibu Health. The role ensures efficient HR operations, compliance with labor laws and company policies, employee engagement, performance management support, payroll administration, and smooth office and facility administration. The position plays a critical role in maintaining a productive, compliant, and employee-centered work environment across both clinical and non-clinical teams.
Tasks
Human Resource
Recruitment & Onboarding
- Coordinate recruitment activities, including job postings, candidate screening, interview scheduling, and reference checks.
- Support hiring managers in the recruitment process.
- Prepare employment contracts and onboarding documentation.
- Facilitate onboarding and orientation of new employees.
- Maintain updated employee records and personnel files.
Employee Relations
- Serve as the first point of contact for employee HR-related inquiries.
- Support employee engagement initiatives and wellness programs.
- Assist in handling employee grievances and disciplinary matters.
- Ensure consistent application of HR policies and procedures.
Performance Management
- Coordinate probation reviews and annual performance appraisals.
- Track performance improvement plans and employee development initiatives.
- Support managers in setting and reviewing performance objectives.
HR Compliance
- Ensure compliance with Kenyan labor laws and regulatory requirements.
- Maintain HR records, contracts, statutory documents, and employee data.
- Monitor contract renewals, leave balances, and employee documentation.
- Support internal and external audits related to HR.
Payroll & Benefits Administration
- Prepare monthly payroll inputs, including leave, overtime, deductions, and
- allowances.
- Coordinate statutory remittances and employee benefits administration.
- Manage employee medical insurance, pension, and other benefits.
- Maintain accurate payroll and HRIS records.
Learning & Development
- Coordinate staff training programs and professional development initiatives.
- Maintain training records and monitor mandatory certifications for clinical staff.
- Support succession planning and talent development programs.
Administration
Office & Facility Management
- Oversee day-to-day administrative operations of corporate offices.
- Manage office supplies, inventory, and procurement requests.
- Coordinate maintenance of office equipment and facilities.
- Ensure a safe, clean, and professional working environment.
Asset Management
- Maintain an up-to-date fixed asset register.
- Coordinate issuance and recovery of company assets.
- Conduct periodic asset verification exercises.
Vendor & Service Provider Management
- Coordinate relationships with facility service providers and vendors.
- Monitor service contracts and renewals.
- Support procurement processes and supplier documentation.
Documentation & Reporting
- Maintain administrative records and filing systems.
- Prepare HR and administrative reports as required.
- Track departmental KPIs and action plans.
Requirements
Education
- Bachelor's Degree in Human Resource Management, Business Administration, or related field.
- Higher National Diploma in Human Resource Management may be considered with relevant experience.
Experience
- 3–5 years of HR and administration experience.
- Experience in a healthcare, hospital, clinic, or medical services environment is highly desirable.
- Experience handling payroll, employee relations, and HR compliance.
