HydroNeo is an international smart aquaculture technology company based in Bangkok and the market leader in Thailand, with an expanding footprint across Southeast Asia, including a growing subsidiary in Indonesia.

We are a young, fast growing company, and our Bangkok office is where our standards are set for the rest of the group. That means the bar here is high. Process discipline, confidentiality, and reliable execution are not optional extras, they are the foundation everything else is built on.

We are hiring an Office Manager & Generalist to run our Bangkok office day to day, own our administration with Thai authorities, banks, and external partners, and keep the operational engine of the company running properly. As part of this role, you will also act as the direct assistant to the CEO, the one person he can rely on without exception, including when he is traveling or in another country.

What we need most is stability of character. This is a rock in the surf role: someone calm and steady under pressure, a fixed point the office can orient around no matter what is happening around them. No drama, no gossip, no politics, and absolute discretion with confidential and sensitive matters. In exchange, you get real professional authority in your area and the CEO's full trust.

If you are at your best when you can take a messy situation and turn it into something organized, on time, and properly documented, this is a senior, high trust, long term role with broad exposure and real career stability. This role goes beyond standard office hours: as part of supporting the CEO directly, you will occasionally handle a message, a call, or a quick coordination matter outside working hours, not as routine overtime, but as part of being a trusted right hand. In return, you will have genuine flexibility when you need it as well.

This role can be structured full-time or part-time, depending on the right candidate's availability. Please indicate your preference and availability in your application.

Tasks

Legal, Regulatory & Compliance (own this end to end)

  • Take full ownership of the company's legal and regulatory standing in Thailand: BOI compliance and reporting, business licenses and permits, Department of Business Development filings, and any other statutory filing the company is required to make.
  • Know every license, permit, and registration the company must hold, track renewal and reporting deadlines without being reminded, and catch gaps before they become risks, not after.
  • Handle direct interactions with Thai authorities, banks, and regulators on the company's behalf: BOI, Revenue Department, Social Security Office, immigration, DBD.Where something requires legal judgment beyond your authority, know exactly when to escalate to the CEO and when to close it out yourself.

HR (own this end to end)

  • Run HR from onboarding to offboarding: contracts, work permits and visa processes for foreign staff, Social Security Office registrations, employee records, and company policy enforcement.
  • Handle day to day employee questions and issues directly, and know what must be escalated to the CEO rather than handled quietly on your own.
  • Build and maintain HR processes that hold on their own, without the CEO having to check in.

Office Manager

  • Run the Bangkok office day to day: supplier coordination, logistics, mail, document flow, office supplies, visitor handling, and general upkeep.
  • Take personal, hands-on responsibility for the office itself: a clean, tidy, well presented space at all times, small issues fixed or flagged before they become problems, plants and common areas looked after, and the office always ready to receive a visitor or client on short notice.
  • Manage all company paperwork and administration: contracts, filings, licenses, employment documents, and a clean, well organized digital filing system on SharePoint.
  • Uphold and strengthen the operational structure of the Bangkok office: internal processes, filing systems, expense and invoice workflows, onboarding routines, office policies. Where a process is unclear or starting to slip, your job is to fix it and make it hold, not let it drift.

Executive Assistant to the CEO

  • Take work off the CEO's desk that he currently has to do himself: expense reports, follow ups on open items, ad hoc special projects, meeting preparation and minutes, correspondence, and translation during meetings, including with the Indonesian office.
  • Hold the fort confidently when the CEO is traveling, with clear judgment about what can be decided locally and what must be escalated immediately.

Requirements

Must have

  • Solid, hands-on experience with Thai regulatory and compliance filings: BOI, DBD, Social Security Office, immigration, Revenue Department. You know the reporting cycles, the documents needed, and how to push something to completion without it sitting for weeks. Experience with a BOI promoted company is strongly preferred.
  • Demonstrated ownership of HR administration end to end, not just supporting it.
  • Absolute discretion with confidential, legal, HR, and financial information, and clear judgment on what must be escalated to the CEO immediately.
  • Fluent Thai and strong professional English (written and spoken). You will translate between the CEO and Thai partners, employees, and authorities regularly.
  • A demonstrated track record of reliability. Colleagues and partners can set their watch by your follow through, and issues raised with you do not need to be raised twice.

Strong plus

  • 5+ years in office management, administration, or executive assistance, including direct support of a senior executive or founder.
  • Genuinely advanced Microsoft 365 skills: Excel (pivot tables, XLOOKUP/VLOOKUP, structured tables, formulas), Outlook, Word, Teams, and SharePoint.
  • Experience in a startup, tech company, or international SME.
  • Experience working directly with foreign founders or international executives.Experience supporting a BOI promoted company.
  • Familiarity with HubSpot, Xero, or similar business systems.

You understand that occasional contact outside office hours is part of working closely with a founder, and you handle it with maturity rather than counting hours. We respect your time and your boundaries, and we expect the same professional judgment in return.

This role suits someone who takes real satisfaction in doing demanding, detailed work well and being trusted with it, not someone drawn to the title or the proximity to a CEO for its own sake.
