Tasks

ABOUT THE ROLE

This role will play a crucial role in supporting the Comms8 x InfluenConnect teams across regions. Reporting directly to the Managing Director and managers, supporting Comms8’s and InfluenConnect's business operations, external outreach, and administrative functions. This individual will work closely with the teams to ensure efficient execution of business initiatives, strengthen stakeholder relationships, and contribute to content creation aligned with the company’s objectives.

This presents an exciting prospect, offering exposure to various operational activities within Comms8 and InfluenConnect. There are extensive opportunities for professional development and the chance to make a significant impact within Comms8 and InfluenConnect.

RESPONSIBILITIES

1. Business Support

  • Build and maintain strong relationships with clients, partners, and stakeholders.
  • Identify and pursue potential business opportunities to support growth targets.
  • Represent Comms8 in communications with external parties, presenting a professional and credible image.
  • Manage and update contact databases, following up with prospects and contacts.
  • Prepare and refine documents, including PowerPoint presentations, credential decks, and company profiles.
  • Update company listings and directories to enhance market presence.
  • Liaise with stakeholders to build positive industry relationships and strengthen credentials.
  • Assist with award submissions for the company, executives, and projects.
  • Track relevant industry events and news to keep the Managing Director and team informed.

2. Content Creation

  • Develop and edit materials, including presentations, brochures, and online content.
  • Conduct research and generate ideas to support campaigns, outreach strategies, and project initiatives.
  • Support in planning, coordinating, and delivering key projects to ensure timely completion.
  • Ensure content aligns with the company’s or client’s project strategies.
  • Suggest creative topics and ideas proactively.
  • Manage online communities, including inbox responses, follower engagement, and comment interaction.
  • Track performance data and consolidate social media reports for internal use.
  • Perform copywriting, visual design, and video editing for Comms8, InfluenConnect, company projects, and leadership LinkedIn accounts.
  • Create and manage new accounts or pages as needed.

3. Ad-Hoc Pitch and Project Support

  • Assist in the preparation and development of ad-hoc pitches and proposals for potential business opportunities.
  • Collaborate with the team to gather relevant information, create compelling content, and ensure alignment with client needs and company strategies.
  • Support project teams in executing tasks and initiatives, ensuring timely completion and quality delivery.
  • Coordinate resources, documentation, and communication to ensure smooth delivery of pitch and project materials.
  • Provide administrative and logistical support during the pitch or project process, including scheduling meetings, preparing presentations, and following up with stakeholders.

4. Team Administrative Support

  • Provide administrative support to the wider team, ensuring smooth day-to-day operations.
  • Organise and manage schedules, meetings, and cross-departmental events.
  • Support internal coordination by maintaining, updating, and ensuring good housekeeping of shared documentation, databases, and project files.
  • Handle correspondence, inquiries, and follow-ups on behalf of various team members, ensuring professionalism and timeliness.
  • Provide regular updates to management on project progress and resource management.
  • Act as a central point of contact for team logistical needs and other administrative tasks.
  • Handle phone calls and inquiries, ensuring timely follow-ups and responses.
  • Track platform sign-ups, manage subscriptions, and renewals.
  • Update and maintain supplier contacts, cost records, and credentials.
  • Arrange travel itineraries, including flights, accommodations and other logistics.
  • Proactively identify ways to optimise workflows and processes.
  • Support event management, including RSVPs and logistical arrangements.
  • Arrange and manage gifts for external parties and team members, ensuring thoughtful and timely delivery.

Ad hoc tasks may be assigned as needed and the tasks outlined above may not encompass all duties required in day-to-day operations. The company reserves the right to modify or change the responsibilities of the role in accordance with evolving business needs.

Requirements

REQUIREMENTS

  • A bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
  • At least 2 years’ experience in business operations, administrative support, or a similar role.
  • Strong written and verbal communication skills in English; Chinese proficiency is a plus.
  • Experience managing client relationships and liaising with stakeholders.
  • Skilled in content creation, including copywriting, visual design, and social media management.
  • Familiar with project coordination, business development, and preparing presentations or proposals.
  • Excellent organisational skills with experience handling administrative and logistical tasks.
  • Proficiency in Google Suite, Microsoft Office Suite, and design tools (e.g., Canva, Adobe Suite).
  • Strong attention to detail, time management, and multitasking skills in a fast-paced environment.
  • Creative problem-solving abilities and proactive in suggesting ideas.
  • Knowledge of industry trends, digital marketing, and social media analytics.
  • Discreet in handling confidential information.
  • A proactive, self-motivated individual, eager to learn and adapt to changing needs.
  • Ability to collaborate effectively with cross-functional teams.
  • Strong interpersonal skills and a positive, professional attitude.
