We are looking for a highly talented Executive Assistant (m/f/d) to provide world-class support to our CEO in Berlin, Germany. In this role, you will handle a wide range of tasks. We are looking for someone who thrives in a constantly changing environment and is an overall strong communicator to all stakeholders.
Tasks
- Work closely with and for the CEO, while collaborating with individual project teams in different locations, such as Germany, UK, Spain, China, Singapore, Pakistan, India and Egypt;
- Manage professional communication and correspondence with internal and external business partners and stakeholders;
- Make sure all administrative tasks run smoothly, e.g. calendars, video meetings, travel arrangements etc.;
- Maintain an efficient flow of information between the CEO and his direct reports;
- Be responsible for maximizing CEO’s time and energy by managing complex calendars and scheduling requirements;
- Play an active role in building a great community – by facilitating relationship building among our international teams;
- Maintain internal and external communication in different countries in various time zones, support all kinds of business requirements on different projects;
- Manage information for internal and external communication including meeting minutes, memos, emails, presentations, reports;
- Lead particular projects in the operational businesses with clear goals and objectives.
- Preparation of contracts and coordination with the legal team, dealing with compliance matters;
- Manage office files and archive of documents;
- Personal life assistance for the CEO and family;
- Expenses and Timesheets management;
- Continuous quality assurance of all processes and procedures;
Requirements
- Full professional English and Chinese proficiency (writing and speaking). Proficiency in other languages such as German is a plus;
- Result oriented, time management, flexibility and readiness to work at any time due to different time zones;
- Preferably have Extensive experience as an Executive or Personal Assistant in a consulting firm, law firm, or professional services firm; or as an all-round problem solver in a challenging organizational environment;
- Excellent communication skills and confidence to interact multiple stakeholders and senior management;
- Familiar with digital working tools (devices and systems), Experimental mindset in learning new collaboration tools;
- Exemplary attention to detail and ability to work effectively in a fast-paced digital environment;
- Experience in an international company environment;
- Strong time management skills, highly organized and resilient;
- The ability to complete complex tasks and projects quickly with little to no guidance, while having a strong attention to details;
