As Property Management Associate you are the administrative backbone of property management. You relieve our Property Manager Specialists of standardised, process-driven work along the entire tenancy lifecycle, from move-in preparation through contract administration to move-out, and you execute it reliably, precisely and on time, so they can focus on the judgement-heavy property and customer matters.
The model for the role is the property management assistant as it is established in Swiss real estate: you prepare and execute standard tasks independently, you prepare cases to the point where the Property Manager can take an informed decision, and you recognise the ones that genuinely need their attention. Your work is measured on what shows in the work itself: contracts, registrations and orders that are simply correct, complete and on time, and data quality in the Room Estate system.
Tasks
The work is back-office: you prepare documents, you keep records correct and you handle standardised correspondence such as registrations, service orders and forms. Individual conversations with tenants, landlords and service partners sit with our Customer Excellence and Property Manager Specialists.
- You administer leases across their entire lifecycle, from the first contract through to the final amendment.
- You register tenants with the authorities on move-in and deregister them on move-out, always within the statutory deadlines.
- You prepare move-ins administratively, from key receipts to everything else that has to be in place before someone arrives.
- You prepare lease amendments at the request of the Property Manager Specialist, who stays accountable for the content.
- You process defect reports to our service partners and trigger service orders, such as end-of-tenancy cleanings or mailbox label orders.
- You prepare the official initial-rent forms required by law.
- You keep partner and rep data current in the Room Estate system and make sure our service partners are correctly assigned to the communities.
- You verify the identity and solvency of tenants and prospective tenants against the documents on file, and you handle what you see with discretion.
- You process residence confirmations wherever the standard process applies.
- You work independently inside the standard processes and escalate only what genuinely needs the Property Manager, prepared to the point where they can decide.
Requirements
- English, fluent in writing, at a level that carries written administration and internal communication flawlessly.
- Precision and attention to detail. Contracts, registrations and forms have to be correct the first time, not corrected later.
- Process discipline, you follow documented processes exactly, you recognise deviations, and you escalate instead of improvising.
- Ownership and accountability, you take on a matter and drive it to completion, you leave no loop open and you stand behind the quality and timeliness of your work.
- Self-organisation and reliability, remote. You work independently, structured and deadline-driven without on-site supervision.
- Digital fluency, you are comfortable in the Room Estate system and standard office tools. Data quality is a core deliverable here, not an afterthought.
- Discretion, you handle personal data (identity, solvency, residence) confidentially and with care.
Bonus
