As our Office Manager, you will be at the heart of our day-to-day operations. You will take ownership of everything that keeps our workplace organized, efficient, and enjoyable: from office logistics and suppliers to team support and events. We are looking for someone who is proactive, resourceful, and loves bringing structure to everything they do.

Tasks

Operations

  • Manage day-to-day office operations, keeping the workspace organized, functional, and well-stocked

Office Purchasing & Cost Control

  • Order office supplies, obtain supplier quotes, monitor office spending and identify cost savings

Facilities & Vendor Management

  • Act as the primary point of contact for vendors, building management, and service providers, coordinating repairs, maintenance, and service schedules as needed

Administrative Support

  • Greet visitors and direct them to the appropriate point of contact
  • Answer incoming calls and manage general office correspondence
  • Maintain digital and physical filing systems, ensuring records stay accurate and up to date
  • Coordinate visitor arrangements in line with company policies

HR Support

  • Coordinate onboarding and offboarding, including workplace setup, orientation, equipment and access cards, IT setup and access-removal requests, and equipment returns
  • Plan and coordinate team events and company culture initiatives
  • Maintain office-related SharePoint content, employee information, contact lists and administrative procedures and checklists

Deliveries

  • Process incoming and outgoing mail and packages

Compliance

  • Ensure office operations comply with safety and organizational procedures

Requirements

  • 2+ years of experience in an office management, administrative, or front-desk coordination roles.
  • Proficient in Microsoft Office 365 (Word/Excel, Outlook, Calendar)
  • Fluent German and English communication skills required
  • Strong organizational skills with attention to detail, and the ability to prioritise competing requests and follow tasks through to completion
  • Excellent written and verbal communication skills, with a professional, welcoming conduct when working with colleagues, visitors and suppliers
  • Discretion and sound judgement when handling confidential or sensitive information
  • A proactive approach to problem-solving
  • Ability to work independently with minimal supervision

  • The starting salary is EUR 1.800,- gross monthly (paid 14x per year) for the part-time employment (25h/week). This equates to approximately EUR 2,880 gross per month, or EUR 40,320 gross annually on a full-time basis of 40 hours per week. Depending on your experience, qualifications, and overall profile, we are open to offering a higher salary.

Job type: Part-time (25 hours per week), Monday to Friday, expected working time is between 08:00 am and 13:00 pm (TBC)

Location: Ribbon Bio HQ, 1110 Vienna, Austria 

Employment is permanent  

Intended start date: 1 November 2026
