We are looking for an experienced HR Operations Specialist to become the key HR expert supporting Nova Post's business operations in Germany.

Your Mission:

To provide legally compliant, systematic, and business-oriented HR support in Germany while balancing the requirements of German labor legislation with the dynamic operational needs of a rapidly growing company.

Tasks

What You Will Do:

HR Administration & Labor Law Compliance

  • Manage the full employee lifecycle administration, including employment contracts, amendments, internships, and other HR documentation.
  • Ensure compliance of HR processes with German labor law and internal company policies.
  • Maintain and update employee records in corporate systems (Microsoft Dynamics / Axapta).
  • Prepare and validate payroll-related data in cooperation with external payroll providers.
  • Communicate with German authorities and support occupational health and safety compliance.
  • Monitor changes in labor legislation and provide recommendations to the business.

Onboarding & Employee Experience

  • Coordinate onboarding activities, including workplace setup, equipment allocation, and required documentation.
  • Support and monitor probation periods and employee adaptation processes.
  • Conduct regular 1:1 meetings and follow up on onboarding plans.
  • Coordinate training activities and business travel arrangements.
  • Ensure a positive employee experience throughout the entire employee lifecycle.

HR Advisory & Business Support

  • Advise managers and employees on labor law, HR policies, and working time regulations (Arbeitszeitgesetz).
  • Prepare HR reports, analytics, and recommendations for management.
  • Support the implementation of Nova Post HR standards and initiatives in Germany.
  • Identify practical and legally compliant solutions for complex HR cases and business challenges.

Requirements

What We Are Looking For:

  • 2+ years of HR experience in Germany.
  • Strong practical knowledge of German labor law.
  • Experience working with payroll providers and payroll-related processes.
  • Experience in HR administration and employee documentation management.
  • German language proficiency at B1 level or higher.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and take ownership of HR processes.
  • Excellent communication skills and a solution-oriented mindset.
