Join the European Society of Radiology (ESR) and help us deliver educational opportunities for young radiologists around the world. As part of the European School of Radiology (ESOR), you will coordinate international educational programmes and events, work with faculty, sponsors and external partners, and help communicate our activities through our website, newsletters and social media.

This is a full-time position (38.5 hours/week) for someone with at least 3 years of experience in event coordination and project administration who enjoys taking ownership, keeping multiple projects on track and working with people from different countries and professional backgrounds. You will join a collaborative team of six, jointly managing more than 70 educational initiatives each year, including on-site workshops and online courses. The role is based in Vienna and is primarily office-based. We value close collaboration and therefore prefer our team to work together on site. The position also includes approximately 4–5 international trips per year.

Tasks

Your role combines event coordination, project administration, communication and digital content. You will take responsibility for several educational initiatives and make sure everything runs smoothly from initial planning through to delivery and follow-up.

Coordinate programmes, courses and workshops

  • Manage the administrative processes for several on-site events in parallel and approximately 8–12 online courses per year
  • Coordinate with international faculty, including invitations, reminders, instructions and online meeting links
  • Organise speakers’ travel, accommodation and reimbursements
  • Liaise with streaming providers, website hosts, sponsors, travel agencies and other external partners
  • Coordinate contracts with speakers and sponsors
  • Keep timelines, deliverables and stakeholders aligned throughout each project
  • Track programme logistics, deadlines and project information using Excel, Google Sheets and internal databases

Support communication and create digital content

  • Maintain, update and manage website content using WordPress and Elementor
  • Coordinate social media activities and create engaging content
  • Proofread and prepare newsletters, presentations and event materials
  • Create graphics for social media, the ESOR website and the European Congress of Radiology
  • Help promote ESOR programmes to young radiologists internationally

Keep everything organised behind the scenes

  • Manage emails and day-to-day correspondence
  • Support contract administration and documentation
  • Prepare meeting agendas, minutes and reports

Requirements

  • At least 3 years of professional experience in event coordination and project administration, including responsibility for projects from start to finish
  • Hands-on experience with website content management, ideally using WordPress or a comparable content management system
  • Experience in social media copywriting, graphic creation and content planning
  • Full professional fluency in English; additional languages are an advantage
  • Strong written and verbal communication skills and confidence coordinating with different stakeholders
  • Confidence using the Microsoft Office Suite and Google Workspace
  • Experience with Adobe InDesign and Adobe Express is an advantage
  • A structured, reliable working style and the ability to keep track of several projects at once
  • A proactive approach and willingness to take ownership of your projects
  • Willingness to travel approximately 4–5 times per year, usually for 3–6 days

For this role the monthly gross salary is at least € 2,600 (14 times per year). The final salary depends on your relevant experience and qualifications and can be negotiated.
