About Ask Aletta
Ask Aletta is an AI-powered search engine that helps healthcare professionals find reliable medical information in seconds.
We started from a problem our co-founder Tijs (pediatrician) experienced firsthand: doctors needed quick access to guidelines, protocols, and clinical resources, but this information was scattered across dozens of sources. Finding the right answer often meant searching through multiple websites, PDFs, and reference materials, or simply not finding it at all.
We built a unified search and discovery platform trained on medical guidelines and clinical resources. Instead of juggling multiple sources or settling for incomplete information, doctors get precise answers to the practical questions they face in their daily work.
The Role
We're a team of ten, growing fast after closing our seed round. Our co-founders are deep in product, engineering, sales, and clinical strategy. What we don't have is someone who keeps the internal machine running: the person who makes sure hiring actually happens, contracts get signed, investor updates go out on time, and the team knows how things work around here.
That's this role. You'll own the operational backbone of Ask Aletta. Not strategy, not product decisions, but the hundred things that need to happen reliably so the rest of the team can focus on building and growth. If you like structure, finishing things, and making order out of chaos, you'll do well here.
Tasks
- Run HR operations end to end: onboarding new hires, employment contracts, payroll coordination, and making sure nothing falls through the cracks
- Coordinate and draft investor updates and reporting. You won't set the strategy, but you'll make sure it's communicated clearly and on time.
- Manage company tooling, subscriptions, insurance, office logistics, and the other operational infrastructure a growing company needs
- Facilitate our goal-setting. Again: facilitate, not dictate. You keep the cadence, the co-founders and team set the direction.
- Be the go-to person for the team when they need to know "how does this work here?" Whether that's expensing something, requesting time off, or understanding their equity.
- Handle compliance-adjacent admin: helping prepare for audits, keeping documentation organized, coordinating with external advisors (legal, accounting, payroll)
- Spot inefficiencies and fix them. If something takes three steps and could take one, you change it without being asked.
- Use AI tools daily to move faster. We're an AI-native company. We expect you to automate the boring stuff, not grind through it manually.
Requirements
Essential:
- 3–6 years of work experience, ideally in a startup or scale-up where things were messy and you helped make them less messy
- You're a strong executor. You like getting things done, checking boxes, and closing loops. You get satisfaction from a clean process, not from a brainstorm.
- Broad and flexible. You're not precious about task size. One hour you're drafting an investor update, the next you're sorting out a health insurance question.
- Self-directed. You can pick up a vague problem ("we need an onboarding process") and turn it into something that works, without someone spelling out every step.
- You use AI tools daily to work faster. If you're not already using AI to draft documents, automate workflows, or speed up research, this isn't the right fit.
- No ego about titles or status. This role is about making everyone else more effective, and you find that satisfying rather than frustrating.
- You can hold your ground. You'll be managing operations across three founders, each with their own priorities and opinions. That takes someone who can push back when needed, hold people to deadlines, and not get steamrolled.
- Fluent in Dutch and English.
Bonus points:
- Experience with Dutch employment law, payroll, or HR administration
- Familiarity with our tooling (we use Moneybird, Google Workspace, Linear, Slack, among others)
- Background in finance or accounting. Not required, but helpful for investor reporting and budgeting.
- Experience in a regulated or compliance-heavy environment

This role exists to prevent that. You'll be the reason the co-founders can stay focused on product, clinical partnerships, and growth, because someone competent and reliable is handling everything else.
