About the Role
This role goes beyond traditional executive support.
You will work closely with the two Managing Directors of a growing global healthcare company, gaining direct exposure to leadership decision-making, company building, and international operations. For the right person, this role offers significant learning opportunities and the chance to grow alongside the company.
We are looking for a highly trusted partner. Someone who thinks ahead, protects priorities, and takes ownership of the details that allow leadership to operate effectively.
You will operate across two key areas: executive support and ownership of our Berlin office environment.
Tasks
What You Will Do
Executive Support
- Manage complex calendars for both Executives, coordinating across US and European time zones
- Coordinate travel logistics including flights, accommodation and visas
- Prepare meeting materials, agendas, and briefings
- Act as a thoughtful gatekeeper, helping prioritise requests and managing competing demands on leadership time
- Liaise with internal teams and external partners
- Handle highly sensitive and confidential information with professionalism and discretion
Office Operations & Environment
- Coordinate day-to-day operations and experience of our Berlin office
- Welcome guests and ensure they feel well taken care of when visiting the office
- Maintain organised and functional shared spaces including meeting rooms, kitchen, and common areas
- Manage office supplies, pantry stocking, and general office needs
- Coordinate with vendors including facilities, cleaning services, and deliveries
- Help ensure the office remains a welcoming and well-run environment for the team

Experience & Skills
- Experience supporting Founders, CEOs, or other C-level executives
- Experience in a startup or high-growth environment strongly preferred
- Excellent written and verbal communication in English (German is a plus)
- Strong proficiency with Microsoft Office Suite
- Experience managing complex, multi-time-zone calendars
- Comfortable coordinating international travel logistics
